UNM Moves Forward with Training for Unified Timekeeping System

Exciting News! HR, IT and Payroll have made significant progress in the training tools available to employees at UNM who will be transitioning to UKG Pro Workforce Management (UKG WFM), which will become the new LoboTime.
In addition to the UKG/LoboTime training module available for supervisors and managers in Learning Central, exempt and non-exempt employees have also been assigned training in Learning Central.
It will cover key responsibilities for employees such as clocking in and out and reporting leave.
Org Managers in Departments currently using LoboTime now have access to the UKG WFM testing site, offering a chance to get familiar with the new interface before the official go-live date on Nov. 29.
We anticipate granting access to Org Managers from remaining departments in early December to familiarize themselves with the interface before the phase two go-live date, Feb. 21, 2026. Resources such as specified tasks, job aids, etc., are being developed to facilitate phase two departments with learning and testing of the system.
As part of the transition, comp time balances will not be migrated to the new system. Employees are encouraged to use any comp time earned by the following dates:
Phase 1 (Current LoboTime Departments):
Comp time must be used by Nov. 28.
Phase 2 (Banner Time Entry Departments):
Comp time must be used by Feb. 20, 2026.
UKG Pro Workforce Management (UKG WFM): Timeline and Training Update

We want to share an important update regarding the UKG/LoboTime implementation. Based on recent leadership discussions and expert recommendations, we are shifting to a phased rollout approach to better support departments and ensure a smooth transition.
- Phase 1: Departments currently using LoboTime will go live on Nov. 29
- Phase 2: All remaining departments are scheduled to go live on Feb. 21, 2026
This revised timeline allows us to incorporate valuable feedback, provide more targeted support, and enhance the overall implementation experience.
In the meantime, we’re excited to announce that the first UKG/LoboTime training module is now live in Learning Central! This training is designed specifically for supervisors and managers whose teams will be using the new UKG/LoboTime system to clock in/out and report leave.
It covers key features and responsibilities to help leaders support their teams during the transition. While this initial training is focused on supervisors and managers only, we’re actively working on additional modules for exempt and non-exempt employees, which will be released soon.
Embracing Change Together: UKG WFM Training Plan Underway

At the University of New Mexico (UNM), we recognize that adapting to new systems and processes can present challenges. As we are preparing to transition to UKG Pro Workforce Management (UKG WFM) this November, we want to acknowledge the time and effort required to learn and adjust—and emphasize that you are not navigating this change alone. Human Resources, Payroll, and IT are committed to supporting you every step of the way.
This transition represents a significant improvement in how timekeeping is managed across the university. While moving away from LoboTime and Banner Time Entry may seem overwhelming at first, we are confident that employees will find UKG WFM to be a more streamlined, efficient, and user-friendly solution once they become familiar with the system.
To support a smooth transition, we have developed a comprehensive, role-based training plan. The primary training will be delivered through Learning Central, featuring self-paced modules and interactive practice exercises tailored to the most common tasks performed by both managers/supervisors and employees.
- Manager/supervisor training modules are expected to be available in early September.
- Employee training modules will follow later in September.
Email notifications will be sent as soon as the training is available.
In addition to the primary training, supplementary resources are available on the UKG Training Modules page at time.unm.edu. These resources are designed to complement the Learning Central modules and will be updated regularly as we approach the November 1 go-live date. They will also remain available after implementation for ongoing reference and support.

HR, IT and Payroll continue to make progress toward implementing the new unified timekeeping system using UKG’s WFM with an anticipated go live date of Nov. 1. As we continue to ramp up for implementation, it is time for us to share our plans for training the campus for using the new tool.
High Level Training and Support Plan
UNM will initiate a comprehensive, role-based training program beginning in August, continuing through the November launch and beyond. Training includes three phases:
- Pre-Learning (August): Introductory videos, job aids, and practice exercises intended to provide brief introductions to WFM. During this time, we will also be working with departments to develop subject matter expertise to ensure training and support is available within departments.
- Primary Learning (September-October): Online training modules, departmental training sessions, user guides, daily task checklists and other modalities tailored to employees, managers, and subject matter experts.
- Post-Learning (Ongoing): Continued access to job aids and support materials to continue to reinforce learning.

UNM Announces Development of Unified Timekeeping System with UKG Pro Workforce Management

The University of New Mexico is proud to announce a significant step towards streamlining its processes with the development of a unified timekeeping system. This collaborative effort between Human Resources, Financial Services and UNM IT will transform how employee time is tracked and managed across all campuses. The project will replace outdated systems, including LoboTime and Banner Time Entry, with the state-of-the-art UKG Pro Workforce Management (UKG WFM) platform, bringing modern efficiency to timekeeping processes.
Why the Change?
Currently, UNM uses multiple timekeeping systems and manual processes, including LoboTime —a web-based time tracking tool used by about 25% of employees —and Banner Time Entry. These systems are incompatible with each other, leading to inefficiencies and inaccuracies. Additionally, LoboTime will no longer be supported by its vendor after 2025, making an upgrade essential.

The transition to UKG WFM promises numerous benefits for employees, managers, and the university as a whole:
For Employees:
- Access the system from timeclocks, desktops, or mobile devices.
- Submit hours and leave requests with ease.
- View up-to-date records of hours worked and leave balances.
For Managers and Timekeepers:
- Simplifies approvals for time tracking and leave requests.
- Uses automated reports to track team schedules and time worked.
- Ends all manual timekeeping and approvals to save time and prevent errors.
For UNM:
- Creates a centralized timekeeping platform for all campuses.
- Ensures compliance with federal and state payroll regulations.
- Improves decision-making through accurate reporting and analytics.
Project Timeline and Support
LoboTime will be officially retired in November 2025, with UKG WFM scheduled to go live in November 2025. To ensure a smooth transition, training and resources will be provided to employees, supervisors, and departments in the months leading up to the launch.
This project aligns with UNM’s 2040 Strategic Plan, Goal Five, One University, which aims to improve administrative systems by streamlining processes, integrating systems, and delivering better service. News Update: Unified Timekeeping System Imlementation Kicks Off! (Q4 FY24)

Big news! UNM has officially completed the planning phase for its new unified timekeeping system, UKG Dimensions. This solution will replace multiple outdated systems and provide a modern, streamlined process for time entry across the main, health sciences, and branch campuses.
Highlights of this achievement:
- System Selected: After extensive research and review, UKG Pro Workforce Management (UKG WFM) has been chosen as UNM’s new timekeeping platform.
- Steering Committee Formed: A diverse group of leaders has been appointed to guide the project and ensure alignment with university goals.
- Project Charter Finalized: The project charter was completed, setting clear objectives and timelines for success.
The implementation process will soon be officially underway, with a targeted completion date of December 2025. Look out for more updates as we work toward a more efficient and effective timekeeping system for the entire UNM community!
News Update: Progress on Unified Timekeeping System (Q2 FY24)

We’re making exciting strides toward a streamlined timekeeping solution for all UNM campuses! In the second quarter of FY24, a discovery effort reviewed our current time entry processes and evaluated potential solutions. Based on this thorough review, a migration to UKG Pro Workforce Management (UKG WFM) was recommended as the best fit for UNM’s needs.
Key milestones from this phase include:
- Initial Presentation: The project team presented the findings and recommendations to the IT Executive Governance group.
- Budget Submitted: A detailed proposal, including one-time and recurring costs, was submitted to the Budget Leadership Team (BLT) for consideration.
